School Policies & Enrollment Agreement
Dear Parents,
Thank you for choosing Park Cities School of Music (PCSM) for your child’s musical education. We value the trust you place in us and are committed to providing a positive, organized, and enriching learning environment for every family.
To ensure clarity and consistency, please review the following policies carefully before completing registration.
Enrollment constitutes agreement to all policies outlined below.
REGISTRATION & ENROLLMENT
- Registration enrolls the student for the entire semester.
- A $25 enrollment fee per semester is required and charged on January 1, May 26, and October 9.
A $25 enrollment fee is non-refundable.
- New students are accepted throughout the year, subject to teacher and schedule availability.
- Lesson and class times scheduled at registration are considered permanent for the semester.
- Students are automatically re-enrolled for the next semester unless a written cancellation request is submitted in accordance with the cancellation policy.
- New students must complete enrollment prior to the first lesson or class.
- Schedule change requests may be submitted in writing at any time (parkcitiesschoolofmusic@gmail.com); however, changes are not guaranteed and are subject to availability.
TUITION & FEES
Payment Options
- Tuition may be paid monthly or in full for the semester.
- Semester Payment Discount: Families who pay the full semester upfront receive a $50 discount.
Monthly Payments
- Monthly tuition is processed automatically using the credit card on file.
- Private Lessons: Charged on the 1st of each month
- Group Classes: Membership is charged monthly on the enrollment date
Declined or Late Payments
- Families will be notified by email if a payment is declined.
- A 5-day grace period is provided to resolve the issue.
- After 5 days, a $35 late fee will be applied.
- PCSM reserves the right to suspend lessons or classes due to late or non-payment.
Additional Charges
- Fees for books, starter kits, recital participation, rentals, school events, or similar items will be added to the invoice in the month they occur.
DISCOUNTS & CREDITS
- Sibling Discount: A 5% discount applies to siblings and to additional instruments or classes.
- Referral Credit: When a referred family enrolls and lists your name, your account will be credited the cost of one lesson.

ATTENDANCE & MISSED LESSONS
Private Lessons
- Students are expected to attend a minimum of three (3) lessons per month.
- Exceptions may apply for nationally recognized holidays, teacher illness, or school scheduling conflicts.
- Absences must be communicated to the office promptly via email: parkcitiesschoolofmusic@gmail.com or text: 214.613.2020.
- Make-up lessons:
- Require at least 24-hour notice
- Limited to two (2) per semester
- Must be completed within the same month as the missed lesson
- Last-minute absences and no-shows are non-refundable and non-creditable.
Group Classes: Baby Music, Toddleroo Music, Instrument Explorers, Little Singers, and Piano Explorers
- Missed group classes are non-refundable.
- Students may attend a make-up class with another group, subject to availability.
- To schedule a make-up class, families must email or text the school office at: parkcitiesschoolofmusic@gmail.com

PRIVATE & GROUP LESSON GUIDELINES
Lessons at the School
- Students should arrive 5 minutes early, prepared with all required books and materials.
- Hands must be washed before each lesson.
Lessons at Home
- Students must be ready to begin at the scheduled time.
- Families are encouraged to allow a 10–15 minute buffer for traffic.
- Teachers will always provide the full lesson duration, even if delayed due to traffic.
Late Arrivals & No-Shows
- Teachers will wait a maximum of 15 minutes and attempt contact via phone or text.
- If no contact is made, the lesson will be marked as a No Show.
- No-shows are not eligible for make-ups or credits.
- Late-arriving students will receive the remaining lesson time only.
CANCELLATION POLICY (PRIVATE LESSONS)
- A 30-day written notice, effective from the 1st of the month, is required to discontinue lessons.
- Cancellation requests must be emailed to:
parkcitiesschoolofmusic@gmail.com - Phone or verbal cancellations are not accepted.
Cancellation Requests Must Include:
- Student name
- Student email and phone number
- Teacher nameand lesson type
- Reason for withdrawal
- Last lesson date
Tuition is non-refundable and non-transferable.
GROUP CLASS CANCELLATION POLICY
- No cancellations or refunds are available once enrollment is confirmed.
- Tuition remains due through the end of the semester.
ADDITIONAL POLICIES
- Summer enrollment requires a minimum of eight (8) lessons.
- Instructor continuity is not guaranteed; teachers may change due to personal or professional circumstances.
- Teachers do not handle billing, discounts, or administrative matters.
- All billing and account inquiries must be directed to the administrative office.
